Understanding tags

Overview

Tags simplify the process of monitoring specific subjects within your email folders, establishing automated rules for message organization, generating analytics reports on trends, and utilizing them as personal folders to categorize your messages.

Tags are convenient labels that help you to prioritize or track specific topics or conversations.





How it works

Tag types

Personal tags

Tags can be personalized for you, The lock icon is always present to differentiate personal tags. Personal tags are visible exclusively to your personal inboxes. Additionally, all your private conversations will have access to use your individual tags created.

Organization tags

All members of your company can see organizational tags across all Workspaces. These tags will also be displayed to your teammates in any conversations they can access.

When in your personal inbox section, organization tags created will not be displayed.

Both personal tags and organization tags appear under the tag section of the inbox.





How to Create Organizations or Personal Tags:

From the conversation's tag menu

Step 1

To create a new tag, you can click on the tag icon at the upper right corner of any conversation and then click on the + icon, or you can directly type the desired tag name and choose the option to create the tag from the tag menu.






Step 2

Enter a name for your tag.


Step 3

Set up extra options for your new tag.

Step 4

  • Select a color for your tag.

  • Select whether the tag should be nested under another tag.

  • Tick if you want your tags pinned to your workspace.


Step 5

Click on save.




From your settings

Step 1

Locate the gear icon positioned at the upper right corner. Next, choose either the Company or Personal settings tab, depending on the workspace you're using. Finally, navigate to the left menu and click on the option labeled "Tags."

Step 2

Click "New tag"

Step 3

Input a name for your new tag.

Step 4

Adjust the tag's Style and Access settings

Step 5

Click on Save





From your sidebar

Step 1

On your sidebar, locate Tags and click on the + sign beside the tags.

click on "New tags"

Set up extra options for your new tag:

  • Select a color for your tag.

  • Select whether the tag should be nested under another tag.

  • Tick if you want your tags pinned to your workspace.


Step 5

Click on save.




Edit tags

Tags can be edited on Simpu from your setting, follow the steps below to edit your tags;

Step 1

Locate the gear icon positioned at the upper right corner. Next, choose either the Company or Personal settings tab, depending on the workspace you're using. Finally, navigate to the left menu and click on the option labeled "Tags."





Step 2

To access the settings for a specific tag, simply click on its name in the list.



Step 3

Edit what you need to and click save.



Use tags

Highlight tags

Enhance the visibility of tags in your conversations and inboxes by applying colors to them. This feature lets you quickly recognize urgent items or comprehend the subject matter before reading a message.

When creating a tag, you can choose a color; if needed, you can modify it later by selecting the applied tag and choosing a different color.

On the Settings page, click on the tags link under organization or personal settings.

Tags not only show up in conversations but they can also be set to appear in conversation lists, ensuring that they are visible on your inbox's conversation list as well.




Tag a conversation

To label a conversation, click on the tag symbol. You can enter the desired tag name in the search field, generate a new tag, or browse through existing tags. Feel free to assign multiple tags to a conversation according to your preference.

Pin tags to your workspace

You can pin your most relevant tags to your workspace for quick access to your tags

.

Note- Pinning your tags to your workspace applies only to your own sidebar and not the rest of your team

After being added to your sidebar, the tags will appear with their corresponding tag icons.



To pin your tags to your workspace

Step 1

Click on the + sign beside tags on the sidebar

Step 2

Select either "private tags" or "organization tags" then check off any tags you will like to show in your sidebar.

Unpin tags from your workspace

Step 1

Click on the + sign beside tags on the sidebar

Step 2

Select "private tags" or "organization tags" then deselect the tags you want to unpin.

Note: Unpinned tags won't show on your sidebar.




Nest tags

With Simpu, you have the ability to arrange your tags by creating nested subtags within a main tag.

Create a new nested tag

When making a new tag or modifying an existing one, you can place it within another tag. You can choose the parent tag for your new sub tag using the dropdown menu labeled "Nest tag under."

You can nest new tags from your sidebar, a conversation, and from your settings.

Nest tags from Sidebar

Step 1

On your sidebar, locate Tags and click on the + sign beside the tags.

Step 2

click on "New tags"


Step 3

Name your new tag

Step 4

Click the drop-down menu labeled "Nest tag under" and select a parent tag for your subtag.

Step 1

Nest an already existing tag

You can decide to nest an already existing tag from your settings, click on the desired tag, click the drop-down menu labeled "Nest tag under" and select a parent tag.

Nested tags limit

There is no limit to the number of tags that can be nested under a parent tag on Simpu.
